Why Standardizing Mailing Addresses Matters
Common problems caused by inconsistent or inaccurate mailing addresses include:
- Returned mail and missed opportunities.
- Wasted postage on undeliverable mail.
- Inaccurate or incomplete address data
- Lower direct mail response rates and ROI
- Poor CRM data quality that affects future marketing campaigns
Standardizing mailing addresses helps improve mail deliverability, supports USPS compliance, reduces mailing costs, and gives your campaigns a stronger foundation for success.
What Is CASS Certification?
- Standardizes street suffixes and direction markers.
- Standardizes all abbreviations used in addresses.
- Completes and standardizes address information when supported by USPS® reference data, including cities, states, and ZIP Codes.
- When used with Delivery Point Validation (DPV®) processing, it helps confirm whether an address is recognized as deliverable by USPS®.
Here’s what that looks like on a single address:
Input (what you send us) | Output (what you get back) |
Mr. and Mrs. Sample | MR A ND MRS SAMPLE |
1234 Sunset Boulevard | 1234 W SUNSET BLVD |
Los Angeles, California 90026 | LOS ANGELES CA 90026-1234 |
Carrier route, delivery point and ZIP+4 appended |
CASS vs. DPV vs. NCOA
These three USPS data processes are often confused. Here’s how they differ.
Service | What It Does | What It Doesn’t Do |
CASS | Standardizes address formatting and ZIP+4 | Doesn’t detect moves |
DPV | Verifies that an address can receive mail | Doesn’t standardize formatting |
NCOA | Updates addresses for people or businesses that moved | Doesn’t standardize addresses |
It doesn’t verify names or people. It also only works within the United States. And it doesn’t outright guarantee delivery. It makes it more likely. CASS Certification requirements like this can save you time and money.
CASS

- Adds ZIP+4®
DPV
- Confirms deliverability
- Identifies undeliverable, vacant, or nonexistent addresses
NCOA
- Returns the new address
- Includes move date (available for CRA)
Best For
CASS
Improving data quality and ensuring mail is formatted correctly.
DPV
Reducing returned mail and verifying address deliverability.
NCOA
Reaching customers who have moved and maintaining accurate records.
Key Benefit
CASS
Reducing returned mail and verifying address deliverability.
DPV
Lower return rates and better sending efficiency.
NCOA
Maintain connections and recover lost revenue.
- NCOA: National Change of Address (NCOALink®) updates people who move. It uses a 48-month history to update addresses for those who move. It looks at the names on the list and updates them if that person filed a change-of-address form with the USPS. This tracks people who move more accurately.
- DPV: Delivery Point Validation checks if a real mailbox exists for that location. It confirms the specific street number and apartment are real. It ensures it’s an active delivery spot. It’s often run within the CASS process.
- CASS: This method cleans and formats the text of an address to match the postal standards. That may mean changing terms like “Boulevard” to “Blvd.” This helps organizations qualify for lower bulk mailing prices.
How Our CASS Certification Process Works
Jared’s Leads simplifies the entire process for you. CASS address validation takes just four simple steps:Step 01
Upload your list
Step 02
USPS CASS processing happens
Step 03
Addresses are standardized
Step 04
Receive your file
Some addresses can’t be standardized, usually because they don’t match a valid USPS delivery point. Your specialist walks you through those so you know exactly what didn’t match and why, instead of guessing at an error code.
CASS-certified address validation isn’t complex. It’s direct and efficient, keeping your campaign on track.
Benefits of CASS Certification
CASS Certification provides several potential outcomes, including:- Standardized mailing addresses. That ensures efficiency.
- Lower postage costs. Standardization minimizes complexities and helps you qualify for bulk pricing. That means postal discount eligibility.
- Better success rates. You’ll have fewer returned mail pieces.
- Mailing accuracy. Better mailing accuracy means your message gets out.
- Improved campaign performance.
How Often Should You Run CASS Certification?
Before every mailing. That’s the short answer, and it’s what most mailers do.If you need a firm outer limit, USPS requires addresses mailed at commercial prices to be verified and corrected within 6 months of your mail date. CASS processing is an approved method for meeting that standard. Beyond that window, your list no longer qualifies.
The reason there’s no single expiration date is that certification is tied to the USPS address database, not the calendar. As of October 2022:
- USPS publishes a new address database every month, and each release carries its own last permissible mailing date.
- Your Form 3553 shows the exact expiration dates for your list.
- Reprocessing before each drop means you never have to track which release you're on.
Who Uses CASS Certification?
It’s universally beneficial. Some of the most common customers of these services include:- Marketing teams
- Direct mail companies
- Insurance companies and marketers
- Healthcare companies
- Financial service organizations
- Nonprofit organizations
- B2B organizations
